Privacy Policy — My Birchwood Wedding

Effective date: August 13, 2026

This Privacy Policy describes how Reid Investment Properties, LLC, d/b/a The Venue at Birchwood ("we," "us," or "our") collects, uses, and protects information through the My Birchwood Wedding app and client portal (the "Service"). It applies to couples, their wedding party members or family who are given access, and vendors whose information is entered into the Service.

This policy does not cover information you provide directly to HoneyBook, our contract and booking platform, or to any vendor, insurance provider, or other third party outside this Service. Please review those companies' own privacy policies separately.

Information We Collect

Information you provide directly. When you create an account and use the Service, we collect information such as:

  • Your name, email address, and any additional contact emails you choose to add for your wedding
  • Your wedding date, guest count, ceremony and reception details, and related planning information
  • Names, categories, and contact information for vendors working your wedding
  • Certificates of insurance, event insurance policies, and related documents you or your vendors upload
  • Messages, notes, or waiver requests you submit through the Service
  • Your account password, which is managed securely by our application platform (see "Service Providers" below) — we do not store your password ourselves

Information collected automatically. When you use the Service, our application platform and push notification provider may automatically collect limited technical information, such as device type, app version, and a push notification identifier used to deliver notifications to your device (only if you've enabled push notifications).

Information from vendors and the venue. Some information in the Service — such as a vendor's certificate of insurance, business contact details, or approval status — is added by venue staff on a couple's behalf, or by a vendor's own submission.

How We Use Information

We use the information we collect to:

  • Operate your wedding planning portal, including tracking vendor certificates of insurance, event insurance status, and planning milestones
  • Communicate with you about your wedding, including reminder emails and (if enabled) push notifications about deadlines, approvals, or your wedding day
  • Review and approve vendor documentation and waiver requests
  • Maintain records related to venue liability, insurance compliance, and vendor management
  • Improve and maintain the Service

We do not sell your personal information, and we do not use it for advertising.

How Information Is Shared

We do not share couples' personal information with other couples or with vendors beyond what is necessary to coordinate your wedding (for example, a vendor may see that they are linked to your wedding date). Vendor certificate-of-insurance information may be reused across multiple weddings that vendor works, since it is maintained as part of our shared, venue-managed vendor records.

We share information with the following service providers, who process it on our behalf:

  • Base44 — the application development and hosting platform that stores and operates the Service's data
  • OneSignal — our push notification provider, if you have enabled push notifications
  • HoneyBook (via an automated connection) — used for contract and booking information; some basic project details (such as your name, wedding date, and contact email) may transfer from HoneyBook into the Service when your booking is created

We may also disclose information if required by law, or to protect the rights, property, or safety of the venue, our couples, or others.

Data Retention

We retain wedding, vendor, and insurance-related records for as long as needed to operate the Service and to maintain venue liability and insurance documentation, which may extend beyond your wedding date. If you request deletion of your account or personal information, we will delete or de-identify it within a reasonable time, except where we are required or have a legitimate business reason (such as insurance or liability recordkeeping) to retain certain records.

Your Choices

Push notifications. If you've enabled push notifications, you can turn them off at any time in your device's notification settings.

Access or correction. You can review and update most of your wedding information directly within the Service, or by contacting us.

Account and data deletion. You may request that we delete your account and associated personal information at any time. For instructions, visit our Account & Data Deletion page. We will process your request within a reasonable time. Some information may be retained where required by law or for legitimate recordkeeping purposes, such as insurance or liability documentation related to a completed event.

Children's Privacy

The Service is not directed to, and is not knowingly used by, anyone under the age of 18. We do not knowingly collect personal information from children.

Security

We take reasonable measures to protect the information in the Service, including relying on our application platform's security practices. However, no method of storage or transmission is completely secure, and we cannot guarantee absolute security.

Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the effective date above. Continued use of the Service after changes are posted means you accept the updated policy.
